How Hallbase handles information about congregations and the people in them.
Last updated: October 6, 2026
Who we are
Hallbase is software for congregations, made and run by Xlinfe Technologies. It has a web console for the people who organize a congregation, and an assistant on WhatsApp, Telegram and the console.
This page covers Hallbase: the console, the assistant and this website. Hallbase is independent software, not affiliated with JW.org or any religious organization.
The congregation decides
Each congregation decides what it records in Hallbase and who may see it. Its elders add the people, programs and reports, and choose what each person may ask the assistant. We handle a congregation's records only to run Hallbase for it.
If you have a question about what your congregation records about you, ask its elders. You can also write to us.
What we collect
- From the congregation: names, phone numbers, email addresses, home addresses, families and field service groups, responsibilities, meeting assignments, monthly reports, territories, and documents the elders add.
- From you on WhatsApp or Telegram: your number and profile name, your messages, voice notes and replies, and when you agreed to receive messages or stopped them.
- In the console: who signs in and when, and a record of who looked up whom.
- On this website: your email address, if you ask to hear when Hallbase opens. We count page views without cookies.
How we use it
- To keep the congregation's programs, assignments, reports and territories, and to send the notices and reminders it chooses.
- To answer your questions to the assistant, only with what the elders allow you to see. This is checked before any congregation records reach the AI model.
- To send sign-in codes and keep accounts safe.
- To write to you once when Hallbase opens, if you asked.
We don't sell personal information, use it for advertising, or use it to train AI models.
Messages
Hallbase sends you notices only after you confirm your number, on WhatsApp or in the console. When you confirmed is recorded.
Reply BAJA or STOP at any time to stop messages. You can still ask for sign-in codes, and your congregation's records are not deleted.
To reach a person, write to your congregation's elders or to inbox@hallbase.org.
The assistant
To reply, the assistant sends your message, and the information it may use for you, to an AI model. Voice notes are turned into text and not kept.
A conversation lasts at most a day and is deleted when it ends. The services that deliver messages may keep technical records longer.
The assistant can make mistakes. Check important details with your elders. A report is saved only after you confirm it.
Who receives it
Service providers that deliver Hallbase's messages and run it, such as Meta (WhatsApp), Telegram and Vercel, which hosts Hallbase and its AI assistant. Each receives only what its task needs.
Within the congregation, people see only what the elders allow. We may also share information when the law requires it.
How long we keep it
- Conversations with the assistant: deleted when they end, within a day. The services that deliver messages may keep technical records longer.
- The record of who looked up whom: 2 years.
- Consent records: while your number is active, and afterward as long as the law requires.
- Congregation records: while the congregation uses Hallbase, or until it asks us to delete them.
- The email list: until Hallbase opens, or until you ask to leave it.
Keeping it safe
Each congregation's information is kept apart, and every request is checked against its access rules. Sign-in uses one-time codes. No online service is completely secure; if you think information was exposed, write to us.
Your rights
Depending on where you live, you may ask to see, correct, receive a copy of, or delete your information, or object to how it is used. Write to your congregation's elders or to us; we may need to confirm the request is yours. You can also complain to a data protection authority.
A parent or guardian can make these requests for a child.
Where it is handled
Hallbase runs in the United States. Its service providers may handle information in other countries.
